This policy explains what the school records about your child and about you, why it records it, who can see it, and what you can ask us to do about it. It covers both the Smart Stars website at smartstars.ac.tz and the Smart Stars mobile app.
We are Smart Stars Early Child Development Academy, a nursery and primary school in Dar es Salaam. We are the data controller for the information described here, and we handle it under the Personal Data Protection Act, 2022 of the United Republic of Tanzania.

1. What we hold

What we do not do
- We do not sell, rent or trade anyone's data.
- We do not show advertising in the app or on the website.
- We do not use advertising trackers or profile you across other websites.
- We do not collect your location.
- We do not read your device's contacts, calendar, microphone or files. The camera is used only when you choose to attach a photograph.
2. Why we hold it
- To run the school. Registers, class lists, the daily diary, timetables, meals and school events.
- To keep your child safe. Knowing who collects a child, and having an allergy note and a telephone number that answers.
- To bill and account. Invoices, receipts and the records Tanzanian tax and company law requires us to keep.
- To talk to you. Messages, notices and event invitations.
3. How signing in works
A parent signs in with the child's Student ID (for example SS‑1007) and the four‑digit security code the school office gives that family. A member of staff signs in with the school Google account the administrator created; there is no staff password stored in our system.
The security code is what proves a person is that child's family, so please keep it to yourself. If you think somebody else knows it, tell the office and we will change it.
4. Photographs
Class photographs are taken during ordinary school activities. A photograph attached to a particular child is shown only to that child's own parents in their own view of the app; other families cannot see it. Photographs are stored in a private container and are served through links that expire after a few minutes, so a copied link does not keep working.
If you do not want your child photographed, tell the office in writing and we will record it and stop. If a photograph of your child appears where it should not, tell us and we will remove it.
5. Who else processes the data
We use a small number of service providers. They process data on our instructions and for no purpose of their own.

These providers keep data on servers outside Tanzania. We share only what the service needs in order to work, and we do not give anyone else access to your child's records.
6. How long we keep it
- While your child is enrolled, and afterwards as a school record.
- Financial records — invoices, receipts and payments — are kept for as long as Tanzanian tax and company law requires, even after a child leaves. We cannot delete those on request.
- Messages and daily notes are kept while they are useful to the family and the school.
- Photographs are removed on request.
7. Your rights
Under the Personal Data Protection Act, 2022 you may:
- ask what we hold about you and your child, and receive a copy;
- ask us to correct anything that is wrong;
- ask us to delete data we are not required to keep;
- object to a particular use, such as photographs;
- withdraw a consent you gave.
Write to info@smartstars.info or come to the office. We answer within thirty days. To close an account and have the data deleted, see Delete your account.
8. Security
- Every request is checked against the signed‑in account, in the database itself, so one family cannot read another family's records.
- Photograph and receipt containers are private; files are served only through short‑lived signed links.
- Traffic to the website and the app is encrypted (HTTPS).
- Only named members of staff can reach the office side of the system.
No system is perfect. If we discover a breach that puts your data at real risk, we will tell you and the authority without delay.
9. Children
The app and the portal are built for parents, guardians and staff — not for children to use themselves. The data about a child is entered by the school and by that child's own family.
10. Complaints
If you are not satisfied with our answer, you may complain to the Personal Data Protection Commission of the United Republic of Tanzania.
11. Changes
If we change this policy we will change the date at the top of this page and, when the change matters, tell you in the app.
Sera ya Faragha — kwa kifupi
Shule ya Smart Stars huhifadhi taarifa za mwanafunzi (jina, tarehe ya kuzaliwa, darasa, picha, mahudhurio, madokezo ya siku, ada na malipo) na taarifa za mzazi (jina, namba ya simu, barua pepe, ujumbe). Tunatumia taarifa hizi kuendesha shule, kulinda usalama wa mtoto, kutoa ankara na kuwasiliana nanyi.
Hatuuzi taarifa za mtu yeyote, hatuweki matangazo, na hatufuatilii mahali ulipo.
Mzazi huingia kwa namba ya mwanafunzi (mfano SS-1007) na namba ya siri ya tarakimu nne kutoka ofisini. Picha ya mtoto huonekana kwa wazazi wake pekee; hazionekani kwa familia nyingine.
Tunatumia Supabase (hifadhidata na faili), Google (kuingia kwa wafanyakazi), Netlify (tovuti) na Apple (App Store). Hawatumii taarifa hizo kwa shughuli zao.
